Terms of Service

Summary: Our apartment locator service is free to you. We're paid a referral commission by participating apartment communities when you sign a lease through us — never by you. We share part of that commission with you as a cash rebate of up to $500, based on your rent and lease length (see section 3).

1. Acceptance of Terms

By using AptLocatorPro's website or services, you agree to these Terms of Service and our Privacy Policy. If you do not agree, please do not use our site or services.

2. Our Service

  • AptLocatorPro is a free apartment locator service — we never charge renters a fee to use it
  • We connect you with licensed real estate agents who help you find an apartment
  • Property listings, pricing, and availability are provided by the communities themselves and are subject to change without notice
  • We make reasonable efforts to keep listing information current, but we do not guarantee its accuracy — always confirm pricing, availability, and lease terms directly with the community before signing

3. Cash Back Rebate Program

The following terms apply to every cash rebate or moving service. They're also shown on our Cash Back page.

  1. 1. Who can get a rebate. You must register with AptLocatorPro (through our website, chat or phone) before you visit, tour, call or apply at the community. The rebate is paid only to the person who registered, and that person must be named on the lease.
  2. 2. Tell the community we referred you. Write AptLocatorPro as your referral source on the community's guest card and on your rental application. If the community doesn't record us as your referral, they won't pay us a referral fee, and no rebate can be paid.
  3. 3. Qualifying lease. A new lease of 6 months or longer, at a community we referred you to, that pays referral fees to apartment locators. We'll confirm whether a community participates before you apply.
  4. 4. How the amount is calculated. Your rebate is estimated at 25% of one month's base rent for a lease of 12 months or longer. Leases of 6–11 months are pro-rated (for example, a 9-month lease gets 9/12 of the full amount). Amounts are rounded to the nearest $25, and the maximum rebate is $500. Base rent is the monthly rent on your lease, not counting utilities, parking, pet rent, fees or one-time specials.
  5. 5. Final amount. Any amount we quote before you sign is an estimate. The final rebate is confirmed after the community pays our referral fee. If the community pays a reduced fee or no fee, the rebate is reduced or not paid.
  6. 6. One rebate per lease. Only one rebate is paid per lease or apartment, even if several roommates are on the lease.
  7. 7. How to claim. Submit the claim form within 30 days of your move-in date, with a copy of your signed lease (the pages showing names, address, rent and lease term are enough). Claims submitted after 30 days may be declined.
  8. 8. When you get paid. We pay your rebate after the community has paid our referral fee and we've confirmed you qualify. This usually takes 4–8 weeks after move-in, but depends on when the community pays us. Rebates are paid by check or electronic transfer to the person who registered.
  9. 9. Moving service instead of cash. You may choose a moving service instead of cash. Its value equals your rebate amount, up to $500. We arrange it, and any moving cost above that value is yours to pay. It can't be exchanged for cash later.
  10. 10. When a rebate is not paid. No rebate is paid if the lease is cancelled, broken or ends in eviction before we're paid, or if the community doesn't pay or takes back its referral fee.
  11. 11. Not eligible. Lease renewals; moves between communities owned or managed by the same company; subleases, roommate take-overs and lease assumptions; corporate, furnished or short-term leases under 6 months; homes, condos or duplexes rented from private owners; employees of the community or its management company; and communities that don't pay locator referral fees.
  12. 12. Taxes. You're responsible for any taxes that may apply to your rebate.
  13. 13. Fraud and changes. We can decline any claim that is false, incomplete, or doesn't meet these terms. We may change these terms at any time, but the terms in effect on the day you signed your lease apply to your rebate.

4. Your Responsibilities

  • Provide accurate contact and search information so we can assist you effectively
  • Review and understand any lease before signing it — AptLocatorPro is not a party to your lease agreement
  • Not use our site for any unlawful purpose or to submit false or fraudulent rebate claims

5. No Warranty

Our website and services are provided "as is." We do not guarantee that any specific apartment, price, or availability will remain accurate, or that our service will be uninterrupted or error-free.

6. Limitation of Liability

AptLocatorPro is not responsible for the condition, safety, or management of any apartment community, or for disputes arising from your lease. To the fullest extent permitted by law, our liability for any claim related to our service is limited to referring you back to the relevant apartment community to resolve the issue directly.

7. Account & Communications

If you create a portal account, you're responsible for keeping your login credentials secure. By submitting an inquiry, you consent to receive property recommendations and follow-up communications from us, and may unsubscribe at any time.

8. Texas TREC Compliance

AptLocatorPro operates as a licensed real estate service in Texas, regulated by the Texas Real Estate Commission (TREC).

9. Changes to These Terms

We may update these Terms periodically. Continued use of our site after changes are posted constitutes acceptance of the updated Terms.
